Customize Announcement

This section provides information on how to customize your on-demand call recording announcement. Call Recording is a feature on your AT&T Office@Hand account which enables you to record incoming and outgoing calls on-demand or automatically. You can also playback the recordings, download the recorded call logs for sales and support training, compliance and etc. Tied to this feature is the Call Recording Announcement to notify your callers that the call is being recorded.

IMPORTANT: State and federal laws require that your callers hear a call recording notification before and after a call is recorded. Administrators need to ensure your company’s call recording procedures comply with federal and state laws; AT&T Office@Hand is not responsible for your company’s compliance.

  1. Log in as an Administrator to your AT&T Office@Hand online account.
  2. Go to Phone System > Auto-Receptionist > Call Recording.
  3. Under On-Demand Call Recording, click Edit below the announcement that needs to be customized.
    • Announcement on Start
      When starting the recording of a call, this message will be played to indicate that the recording is starting.
    • Announcement on Stop
      When ending the recording of a call, this message will be played to indicate that the recording function has been turned off.
  4. Click the drop-down box below Set Greeting, then select Custom.
  5. You can customize your On-demand Call Recording Announcement in 3 ways:

Recording by Phone

This option will allow you to record your customized Recording Announcements over the phone.

  1. Select Phone. Enter your telephone number in the box provided, then click Call Now.
  2. It will try to reach the phone number you keyed in. Follow the given instructions to record your announcement.

Recording by Computer microphone

This option allows you to record your own Call Recording Announcement using your computer’s microphone.

  1. Speak into the microphone and adjust the volume using the slider button.
    Click the Record button record button when the volume meter turns into green.
  2. After recording, you may:
    Click the Play button Play button to preview the announcement.
    Click the Record button record button to re-record the announcement
    Click the Upload button Upload button to upload the announcement.
  3. Click Done.

Record by Importing

This option allows you to upload a customized pre-recorded audio file stored on your computer/device.

Note: Office@Hand recommends using the .wav or .mp3 audio formats for better audio quality:

  • CCITT u-Law (G711a), 8 kHz, 8-bit, mono
  • PCM, 8 kHz, 16-bit, mono
  1. Click the drop-down box below Recording by, then select Importing. Click Browse.
  2. Locate the file that needs to be uploaded, then click Open.
    Note: It may take a while to upload the file, depending on its size.
  3. You will be prompted after the successful upload. Click Done.
    Note: You may also click the Play button to preview the announcement or click the Record button to re-upload the announcement.

Check on Online Account

This section provides information on how to check, download, and listen to On-Demand Call Recordings. Call recordings can be downloaded from your AT&T Office@HandOnline account.

On-demand Call Recordings can be retrieved from the Recordings section of the Messages tab. On-demand Call Recordings do not work when Automatic Call Recording is activated for the extension.

IMPORTANT: State and federal laws require that your callers hear a call recording notification before and after their call is recorded. As an Administrator, make sure your company’s call recording procedures comply with federal and state laws.

  1. Log in to your AT&T Office@Hand online account then click Messages.
    • When logged in as an Account Administrator. Click Admin Portal > My Extension first.

  2. Click Recordings.

    Click Recordings.

  3. Click the Play button to play the recording.
    Click on provided links if you would like to Download or Forward a message.

    To delete a recording, simply select the recording by putting a check mark on the box next to it, and then click Delete.

Enable or Disable

This section provides information on how to enable or disable the on-demand call recording feature in the AT&T Office@Hand Online Account. On-Demand Call Recording enables users to record calls at any time by pressing star 9 (*9) on a phone dial pad. This feature is enabled by default.

Account Administrators can enable or disable this feature by following the steps below.

  1. Log in as an Administrator to your AT&T Office@Hand online account.
  2. Go to Phone System > Auto-Receptionist > Call Recording.
  3. The On-Demand Call Recording feature is Enabled by default.
    Toggle switch to Enable or Disable On-demand Call Recording, then click Save.

  4. You may use the default Announcement on Start and Announcement on Stop or you may click Edit to customize. For more information go to On-Demand Call Recording – Customize Announcement | Admin | AT&T Office@Hand.
    • Default Announcement on Start: “This call is being recorded. If you do not wish to be recorded, please disconnect at this time.”
    • Default Announcement on Stop: “This call has been recorded.”
  5. Click the Save button.
    IMPORTANT: Certain laws require that your callers hear a call recording notification before and after a call is recorded. As an Administrator, you need to make sure your company’s call recording procedures comply with all applicable laws and regulations. AT&T Office@Hand is not responsible for your company’s compliance.

Initiate

This section provides information on how to initiate on-demand call recording. Both Administrators and Users can manually record calls using their IP Phones or Forwarding Numbers by following the steps below.

The On-Demand Call Recording feature allows Users to manually record phone calls anytime using an IP Phone provisioned with AT&T Office@Hand, Forwarding Number, Office@Hand Desktop App or Office@Hand Mobile App.

  1. In an active call, press *9 (star 9) to start recording your conversation.
    Note: You can tap the Record button using the AT&T Office@Hand Mobile App.
  2. To stop and save the recording, you can press *9 (star 9) again.
    Note: You can tap the Record button again using the AT&T Office@Hand Mobile App to stop and save the recording.

IMPORTANT: Your callers will hear a call-recording notification before and after the call is recorded.
