This article will guide you on the various uses of extensions on your AT&T Office@Hand mobile app. Please see the subjects below:

Adding or Deleting an Extension on your mobile app

NOTE: You need to be an account administrator to perform this action

Adding an Extension

  1. Launch your AT&T Office@Hand Mobile App and log in your account.
  2. Tap your profile picture.
  3. Tap Phone System > Users.
  4. Click the Add icon icon to begin adding.
  5. Fill in the User info by providing the First Name, Last Name, and Email of the extension. You may also customize the Direct Number of the extension. Click Save to proceed.
  6. A notification will appear, click OK to continue the process.
  7. The Order Confirmation will appear to provide the transaction details, click Confirm to proceed.
  8. A notification window will appear, click OK to conclude the process.

Deleting an Extension

  1. Launch your AT&T Office@Hand Mobile App and log in your account.
  2. Tap your profile picture.
  3. Tap Phone System > Users.
  4. Select the user you wish to delete.
  5. Tap User Info.
  6. Tap Delete User.
  7. A notification will appear, tap OK to proceed.

Configure User Info of an Extension

The Welcome Email is sent to the extension owner’s email address. This will allow them to activate the extension and customize their security settings for logging in. If the user has not activated the extension, you can resend the confirmation email using the AT&T Office@Hand mobile app for Android. To do this, follow the steps below.

NOTE: You need to be an account administrator to perform this action.

  1. Launch your AT&T Office@Hand mobile app on your Android device.
  2. Tap your profile picture.
  3. Tap Phone System.
  4. Tap Users.
  5. Tap the extension you want to edit.
  6. Tap User Info.
  7. Here you can edit the following:
    • Extension Number – This is the AT&T Office@Hand User’s extension number. This is the extension number that one dials when calling from a desk phone, mobile app or desktop within the phone system. It is also the extension number announced by the dial-by-name directory. It is recommended to use a 3-digit number as extension numbers.
    • First Name – This is the first name of the AT&T Office@Hand User extension, which is also used as a reference for the Dial-by-Name Directory and Company Contacts feature.
    • Last Name – This is the last name of the AT&T Office@Hand User extension, which is also used as a reference for the Dial-by-Name Directory and Company Contacts feature.
    • Record User Name – This will allow you to make phonetic changes to the spelling of your extension name so that the text-to-speech feature can pronounce the name correctly.
    • Contact Phone – This contact information can be used on Fax cover page.
    • Mobile Phone – The User’s mobile number. This information can be used as the User’s forwarding number.
    • Email – This is the User’s contact email. This is where the welcome email is sent when activating the extension. This is also where notifications are sent.
    • Use Email To Log In – Toggle switch to enable or disable the use of email to log in.
    • Department – Is the Group where the User is assigned to.
    • Job Title – The User’s job title.
    • Roles – Allows you to edit the role of the User.
    • User Groups – Allows you to edit User’s Groups.
    • User Hours – This is where you can customize the hours of operation of your extension.
    • User Password – You can change the extension’s security settings in the section. This option will only be available if the extension has been activated.
    • Regional Settings – You can change the Time Zone, Time Format and Home Country Code settings.
    • Schedule Meetings for Me – Select Users permitted to schedule AT&T Office@Hand Meetings on the User’s behalf.
    • Resend Welcome Email – This option is only available when the extension has not been activated yet. It resends the activation email specified in the Email section.

Add a Direct Number to an Extension

A Direct number is a phone number that your customers call to be routed to a specific extension without going through the auto-receptionist. You can add a direct number to an extension from your mobile device. To do this, follow the steps below.

NOTE: You need to be an Account Administrator to perform these steps.

  1. Launch your AT&T Office@Hand Mobile App and log in your account.
  2. Tap on your profile picture to open My Profile.
  3. Tap Phone System.
  4. Tap Users.
  5. Tap the extension you want to add a direct number.
  6. Tap User Info.
  7. Tap Phones & Numbers.
  8. Tap Add Direct Number.
  9. Select one of the system-generated telephone numbers, and then tap the arrow pointing to the right to add the number.
  10. The last step will be Order Confirmation. Tap Confirm to conclude the process.

Customize an Extension’s Messages & Notification Settings

An Extension’s Business Hours determines it’s call handling and notification rules. Follow these steps to change an extension’s business hours Messages and Notification Settings on your AT&T Office@Hand Android mobile app.

NOTE: You need to be an Account Administrator to perform this action.

  1. Launch your AT&T Office@Hand mobile app on your Android device.
  2. Tap your profile picture.
  3. Tap Phone System > Users.
  4. Tap the extension you want to edit.
  5. Tap Messages & Notifications.
  6. Set up the following settings:
    • Voicemail Greeting
    • Message Recipient
    • Notification
  7. Tap Save to retain changes.

 

Add a Messages-Only Extension

How do I set up an extension to take messages only on my mobile app?

  1. Launch your AT&T Office@Hand mobile app on your device.
  2. Tap your profile picture to open My Profile.
  3. Tap Phone System.
  4. Tap Groups.
  5. Look for Messages-Only Extension, the tap the plus (+) icon next to it.
  6. Fill out the extension information, then tap Save once done.
  7. Complete the extension details under Extension Info.

A confirmation will be sent to the email on file. The extension administrator should confirm to setup the extension’s Password, PIN and Security Question.

Add Announcements-Only Extension

Announcements-Only extension is a virtual extension in your account where you can record announcements. All callers routed to this extension will only hear a recorded announcement/greeting.

NOTE: You need to be an account administrator to perform the following procedure.

  1. Launch your AT&T Office@Hand mobile app on your device.
  2. Tap your profile picture.
  3. Tap Phone System.
  4. Tap Groups.
  5. In the Announcements-Only Extension section, tap the + button.
  6. Enter the Extension Name and Email, then tap Save. You will be redirected to Groups page.
  7. Under Announcement-Only Extension, click the extension you created.
  8. Click Extension Info to modify the extension details, then click Save.
    NOTE: Like other extensions, you can also add a Direct Number.
  9. Click Message & Notifications.
  10. Tap Greeting to customize your voicemail greeting.
  11. Tap Custom, and then tap Record.
    NOTE: You can tap Default anytime you want to switch back to AT&T Office@Hand’s default voicemail greeting.
  12. Enter your phone number or select from one of the forwarding numbers, then tap Call Now.
    NOTE: The system will try to reach the phone number you keyed in/ chose. After which, you will be given instructions for recording your custom voicemail greeting.
  13. Tap OK.
  14. Tap Done.
