Office@Hand: User Details Overview

The User Details section in your Office@Hand Online account allows you to edit the extension’s settings. Both Administrators and Users have access to this section. However, a Standard User can only access his/ her own User Details but an Administrator can access his/ her own and other users’ User Details.

Account administrators have access to more information and can perform actions such as changing the role and User Group of a User, applying a template, and enabling or disabling the extension. Account administrators can also  add or delete extensions using the Online account.

Follow the steps below to learn how you can access the User Details page of a particular user.

  1. Log in to the Office@Hand Online account.
  2. On the Admin Portal, click Users.

    TIP: Administrators can easily manage multiple Users at once. Click the More button right next to Download User List, then click Edit User Information.

  3. On the User list > Users With Extensions tab, click the User.

    – User Info ­– Enter the following information on the space provided:
    First Name, Last Name, Extension Number, Department, Contact Phone, Mobile Phone, and Email.

    – Record User Name ­- Use this option to ensure your name is pronounced correctly by the system operator. You can spell out the name the way it sounds to help the operator, or you can record the name in your own voice and use it for announcements instead. Click the Edit button to start the configuration.

    – Change Password -­ Click this button to configure the User Password, Pin, and Security Question/ Answer. For more information, go to Office@Hand: Changing the Security settings via the Online account.

    Use email to log in – Check this box to let the selected User log in to the Office@Hand Online account using the corporate email address and password.
    Note: The email address must not be associated with another user’s extension in order to use email as your login

    – Verify Email Uniqueness -­ In order to use email as your login, your email address must not be associated with another user’s extension. Use this option to verify that the provided email address is associated only with this user.

    Regional Settings -­ Click Edit under Regional Settings to configure the User’s Time Zone, Country Code, and Time Format.

    User Hours -­ Click Edit under User Hours to configure the User Hours between 24 hours / 7 days a week or custom hours for specific user hours per day. For more information go to Office@Hand: Setting the Hours of Operation.

    – Roles ­– A Role is a collection of permissions given to users to control what users can do within the system. Click Edit to configure the Role assigned to the user. For more information go to Office@Hand: User Roles and Permissions.

    – User Groups -­ Click Edit under User Groups to modify the User Groups assigned to the user. For more information go to Office@Hand: User Groups Overview.

    – Template -­ Click Apply under Template to apply a template to the User. For more information go to Office@Hand: User Templates.

    – Schedule Meetings for Me ­- Click Edit under Schedule Meetings for Me to set which users are allowed to set meetings for the selected User. for more information go to Office@Hand Meetings: Schedule Meetings for Another Host.
