How do I check messages on my RingCentral Office@Hand online account?

This article will guide you on how to check the messages on your online account.

Users
Administrators

Users

On your online account, click Messages, and then you will be able to view the following sections:

 User options on messages Inbox – This section is where you will find your received voice and fax messages.

Outbox – This section is where you will find your scheduled and pending outgoing faxes.
For more information, go to Outbox.
Sent Items – This section is where you will find your sent faxes.
For more information, go to Sent Items.
Deleted Items – This section is where you will find your deleted voice and fax messages.
For more information, go to Deleted Items.
Recordings – This section is where you will find your recorded calls via On-Demand Call Recording.
For more information, go to Recordings.

 

Inbox

You will be able to find your received voicemail and faxes in this folder. You can store up to 200 messages in the Inbox folder. When your mailbox is full, you can still receive new messages, and the oldest message gets deleted automatically.

Click on the Fax or Play button to preview the message.

Click on provided links if you would like to Download or Forward a message.

To delete a failed fax or to cancel a scheduled fax, select the message by clicking the check box next to it, and then click Delete.

Note: You can have your incoming messages sent to your email automatically by setting up your Notification Settings.

Outbox

The Outbox folder is where you can find your Scheduled faxes or Fax Messages waiting to be sent or in the process of sending. You will also be able to view your faxes that failed to send (recipient’s fax number is busy, recipient’s number is not a fax line), and have the option to resend the failed fax by clicking Resend.

Sent Items

You will see your sent faxes in the Sent Items folder. Sent messages are stored in the Sent items folder up to 30 days.

To delete a sent fax, simply select the message by putting a check mark on the box next to it, and then click Delete.

Deleted Items

Deleted voicemail or fax messages are stored in the Deleted Items folder up to 5 days. Click on provided links if you would like to Download or Forward a message.

To restore a deleted message, tick the checkbox beside the message and click Restore. To permanently delete a message, click Delete and then click Yes on the pop-up window to confirm.

Recordings

You can find your On-Demand Call Recordings in this folder. Call Recordings are stored in your account up to 90 days. See also Office@Hand: Checking the Call Recordings on your online account for more information.

Administrators

Account Administrators have access to view another User’s Voicemail and Fax messages ONLY IF the Administrator knows the password of the User that they want to view. Regular Users do not have access to view another User’s messages.

  1. On the Admin Portal page, click Users.

  3. Select the name of the User that you wish to view and click on the value under Messages.

  4. Enter the User’s password to proceed.

  5. You will be able to view the list of messages in the User’s Inbox. You can View the Fax Message Fax message icon, or click the Play button Play button to to the Voicemail first before downloading.
    You can click on provided links if you would like to Download or Forward a message. To delete a message simply select the message by putting a check mark on the box next to it, and then click Delete.
