Configure Settings

AT&T Office@Hand Meetings is a Cloud Video Conferencing that unifies HD video conferencing, mobility and web meetings together as a free cloud service. AT&T Office@Hand Meetings gives you the power to video conference and web share, as part of your complete business communications solution. Hold face-to-face meetings in high definition and share your desktop or documents with anyone, anytime, anywhere. You can configure the Meetings Settings during or before an active meeting.

  • Via the Audio Options
  • Via the Video Settings
  • Via the Settings Menu

Via the Audio Options

  1. During a meeting, click the option beside the Mute/Unmute or the Microphone button, and then click Audio Options….
  2. Select Computer Audio – Connected, click Test Computer Mic & Speakers.

You will then be redirected to the Audio section in the Settings window. You can also go through the different Settings options from this step.

Via the Video Settings

  • During a meeting, click the options beside the Start/Stop Video button, and then click Video Settings….
  • You can also click Choose a Virtual Background to automatically select a background.

You will then be redirected to the Video section in the Settings window.

Via the Settings Menu

Click Settings on the upper-right corner of the app.

This will then open Settings window to let you configure the following:

Options Function
Audio
  • Test your Speaker and Microphone to ensure good quality for Meetings
  • Use the slider to adjust the volume levels as necessary.
  • If you have additional devices connected to your desktop, use the drop- down menus to choose which speakers and microphone you prefer to use for Meetings.

Note: Some advanced Audio options are OFF by default. Account Administrators can enable this feature account-wide and for Users. Account Administrators can go to Tools > Meetings > Meetings Settings > Audio Options and enable their preferred settings.

Video
  • See a preview of what your Video looks like to ensure good quality for Meetings.
  • Use the drop-down menu to choose which webcam you prefer to use if you have more than one connected to your computer.
General

You can check the boxes next to each setting that needs to be enabled.

Note: Some General options are OFF by default. Account
Administrators can enable this feature account-wide and for Users. Account Administrators can go to Tools > Meetings > Meetings Settings > In Meeting (Basic) and enable their preferred settings.

Feedback AT&T Office@Hand welcomes your ideas, requests, and comments. Please share them with us using the Feedback option in Settings. Type your message in the text field and click Send Feedback.
Recording
  • This setting allows you to specify the location where recordings are saved.
  • Click Change File Location to change the default location or Open to see the location of your recorded meetings.

Note: Clicking the Choose a location for recorded files when meeting ends checkbox will let AT&T Office@Hand Meetings ask you where to save your recorded meeting every your meeting ends.

Schedule and Update a Meeting

Scheduling or updating an AT&T Office@Hand Meeting is typically done by the Host of the meeting. It can be done using the AT&T Office@Hand Meeting for Desktop or Mobile. A Meeting ID is generated once you have scheduled a meeting and invites are sent to participants by email, as a private message or through text messaging. When you invite via default calendar or Gmail calendar, the invitation instructions are automatically pasted to the invite. You can also choose to copy the invitation URL.

Schedule a meeting

  1. Log in to AT&T Office@Hand Meetings.
  2. Click Schedule.
  3. Provide details for the following:
    • Topic – Set the meeting topic.
    • When – Select the date, time and the duration of your Meeting (local, device time zone).
    • Recurring meeting – Select if you would like a recurring meeting (i.e. the meeting ID will be persistent for the recurring meetings.
    • Schedule for – This will be available when a User has selected you to schedule meetings for him/her. See Meetings – Schedule Meetings for Me | AT&T Office@Hand to learn more.
    • Video (when joining a meeting) – Start your Meeting with video mode ON or OFF for Host and Participants.
    • Audio Options – Select to allow Telephony, VoIP Only, Both or select 3rd Party Audio. You can also click Edit to dial in from a Global Office. Dial in numbers for the selected countries will be listed in the email invitation.
    • Meeting Options – Click the checkbox/es to enable the following options:
      • Require meeting password
      • Enable join before host
      • Use Personal Meeting ID – Using your Personal Meeting ID allows Participants of your scheduled meeting to dial in to this number instead of the automated Meeting ID. If you want to change your Personal Meeting ID according to your preference, just click on the drop-down menu on the Meetings App, click on Personal Meeting ID > Change.
    • Calendar – Select the calendar where you want your scheduled meeting to appear on.
      For Windows: Outlook
      For Mac: iCal
      Google Calendar
      Other Calendars
  4. Click Schedule.
    • You preferred Calendar application will then launch to let you send a meeting invite to your Participants.
    • You can skip sending a meeting invite. Your meeting will still be scheduled in your AT&T Office@Hand Meetings for Desktop and in your preferred Calendar application. – If you selected Other Calendars, click Copy to Clipboard and paste your scheduled meeting invite on your preferred platform.

Update a meeting

  1. In AT&T Office@Hand Meetings, click Meetings.
  2. Click Edit on the scheduled meeting you want to update.
  3. Make the necessary changes to the scheduled meeting and then click Save.
  • You preferred Calendar application will then launch to let you send an updated meeting invite to your Participants.
  • If you selected Other Calendars, click Copy to Clipboard and paste your scheduled meeting invite on your preferred platform.

NOTES:

  • When setting up an AT&T Office@Hand Meeting from an international office, a Conference bridge and Meeting ID will be generated. You can use the conference bridge to join the meeting or select the specific International Dial-In number for the country you are located in.
  • Non-recurring meeting ID will expire 30 days after the meeting is started. You can re-start the same meeting ID within the 30 days.
  • Recurring meeting ID will expire 365 days after the meeting is started on the first occurrence. You can re-use the meeting ID for future occurrence.

That means, if you need to re-schedule a meeting, simply update your schedule on your calendar. It is not necessary to update the meeting on the AT&T Office@Hand Meetings scheduler. You can do so if you want by clicking on Meetings > Edit. However, this is not necessary.

We also do not need an Outlook plugin as we do not need to sync your calendar and the AT&T Office@Hand Meetings scheduler. The meeting ID provided is robust enough for you to make changes to your calendar without having to sync calendars and AT&T Office@Hand Meetings scheduler.

Start a Meeting

Two ways to start a meeting:

  1. Start an Unscheduled Meeting
    On AT&T Office@Hand Meetings, click Start without video or Start with video to start a meeting.
  2. Start an Scheduled Meeting
    1. Click Meetings.
    2. Select a scheduled meeting under Upcoming and click Start.

QUICK TIP: You can also start a meeting using your Personal Meeting ID. Your participants can dial in to that number instead of the automated Meeting ID.

Join a Meeting

Hold face-to-face meetings in high definition and share your desktop or documents with anyone, anytime, anywhere. Follow these steps to join a Meeting with AT&T Office@Hand Meetings for Desktop.

You can join a meeting through the following options:

  • By clicking Join on the AT&T Office@Hand Meetings for Desktop
  • By clicking the link on the meeting invite
  • By clicking the link sent via Instant Message
  • By manually entering the Meeting ID on the Meetings website

By clicking Join on the AT&T Office@Hand Meetings for Desktop

  1. On AT&T Office@Hand Meetings, click Join.
  2. Enter the Meeting ID and your Name then, click Join.

Note: For recurring meetings, you may select the Meeting ID from the previous meeting you attended.

By clicking or copying the link on the meeting invite

You can click on the link that is in the description section of the calendar invitation or calendar reminder. You can also copy the link and paste it in your browser’s address bar.

By clicking the link sent via Instant Message

Click on the link to start or join a meeting via Instant Message. You can also copy the link and paste it in your browser’s address bar.

By manually entering the Meeting ID

  1. Go to https://meetings-officeathand.att.com/join.
  2. Enter your Video Meeting ID in the field provided and click Join Meeting.
    Note: Your Video Meeting ID is a 10-digit number.

Note: AT&T Office@Hand Meetings replaced the Old Dial-in number with (773) 231-9324. After the migration, the Meeting ID will be automatically validated (no need to press “1”). An error prompt appears if the meeting ID is incorrect. Meeting security will also be enhanced by making sure the phone participants cannot enter the meeting before the host when Enable join before host (Meetings Desktop app) or Allow Join Before Host (Meetings Mobile app) is disabled.

Assign New Host

When you start a Meeting, you automatically become the Host for that Meeting. A Host may only leave a meeting after a new Host has been assigned. Follow the steps below to learn how a Host can assign a new Host.

  1. Hosts can click Manage Participants during a meeting, .
  2. Hover on the Participant that you want to become the Host, and then click More > Make Host.

Note: If you are the Host trying to start a meeting and you are prompted that you are waiting for the Host, it may be that you are logged in to another account that is not associated with the currently scheduled meeting. Make sure you are logged in with the account that you originally scheduled the meeting with.

Hover on the Participant that you want to become the Host, and then click More > Make Host.

When you start a Meeting, you automatically become the Host for that Meeting. You can assign another Participant to be the new Host or a Co-Host of the meeting. Co-Hosts have the same privileges as the Hosts and Hosts are able to withdraw Co-host permissions.

Note: AT&T Office@Hand Meetings generates a dial-in number by default. When joining an Office@Hand Meeting from an international location, you may join the conference using the International Dial-In number through a desk phone, the AT&T Office@Hand Mobile app, or the AT&T Office@Hand Meetings for Desktop.
