Manage Flexible Seating with AT&T Collaborate

Flexible Seating enables your company to set up host devices and make them available to users at drop-in work locations. A user with the Flexible Seating Guest feature and an appropriate guest profile can log in to a host device, which then takes on that user’s profile settings. When the user makes or receives a call from the host phone, the user’s own call policies and services apply. When a user is logged in to a host, the user’s primary phone still works as expected.

As an administrator for the AT&T Collaborate SM service with permissions to manage sites, you can add flexible seating host devices or manage existing ones.

Manage flexible seating hosts

When you manage a flexible seating host, you:

  • Update the flexible seating host profile
  • Update devices and guest associations
  • Manage privacy settings

Access the Flexible Seating Host page

  1. On the Collaborate homepage, click Select a site or Switch sites, and then search for or select the site you want to manage.
  2. On the left menu, expand Administration, and then click Features. The Site feature settings page appears.
  3. In the Flexible Seating Host section, click Edit. The Flexible Seating Host page appears.

Update a host profile

  1. Access the Flexible Seating Host page.
  2. On the Flexible Seating Host page, search for or select a host. The Manage Host page appears.
  3. Update the following host information, as needed:
    Phone number, extension, name, department
  4. Under Device, update the device information, as needed:
    • To change devices, click Change.
    • To edit the device profile, click the Edit icon.
    • To delete the device, click the Delete icon.
  5. Under Guest settings, update the information for the user who uses the host’s device, as needed:
    • To limit the amount of time a user’s profile settings can be applied to the host, check Limit association to, and then enter the time limit in number of hours.
      Note: If there’s no time limit set, a user’s profile settings are applied to a host until the guest user logs out.
    • Set who can use the host device:
      To allow all users in your company to use the host, under Access for, select Company.
      To allow only users at your site to use the host, select Site.
    • Under Privacy, check 1 or more boxes to hide guest information:
      • Exclude the guest’s information from the company directory
      • Exclude the guest’s information when a caller selects the Auto Attendant dial by extension option
      • Exclude the guest’s information when a caller selects the Auto Attendant dial by name option
  6. Click Save.

Update flexible seating settings for a user

  1. On the Collaborate homepage, on the left menu, expand Users, and then click Manage users. The Manage users page appears.
  2. Search for or select the user that you want. The user’s profile page appears.
  3. Click Adjust settings. The Manage settings page appears.
  4. Click Shared Workspace bundle. The Shared Workspace bundle page appears.
  5. In the Flexible Seating section, click Set up. The Flexible Seating settings page appears.
  6. Specify an unlock phone PIN code for the associated host device. This PIN lets users lock and unlock the associated host device. Before ending the host-guest association, the phone must be unlocked using this code.
    Note: This is not the PIN users need to log in to the host device to create an association. To log in to the host device using the phone keypad, enter the Collaborate feature PIN. Use the unlock phone PIN code only to unlock an associated host device.
  7. Select a guest device. The guest device must be the same as the make and model of the host device.
  8. Under Host association, check Limit profile association to, and then enter the hours to limit the association between devices.
  9. To assign a host, click Assign host, and then search for or select a host.
  10. When you’re finished, click Save.

Add a host

  1. Access the Flexible Seating Host page.
  2. On the Flexible Seating Host page, from the Actions menu, click Add. The Add host page appears.
  3. Enter a phone number, extension, and host name, and select a department.
  4. Search for or select a host device and then set up the device. You can choose a new or existing device.
  5. Under Guest settings:
    • Enter the number of hours the host and guest will be associated
    • Determine who has access (the entire company or a specific site)
    • Select privacy information
  6. When you’re finished, click Save.
