Manage common features with AT&T Collaborate

You can view or manage common AT&T CollaborateSM features assigned to you. If you have questions about whether you have access to a feature, contact your administrator.

You view and manage features from the Features page.

Access the Features page

You view and manage features from the Features page. The process is very similar for most features.

  1. On the Collaborate homepage, on the left menu, click Features. The Features page appears.
  2. To manage the status of a feature, under Status, click Off to turn the feature on. One of the following appears in the section for each feature:
    • An Edit icon
    • A View only button
    • A Status switch (to turn the feature on or off)
    • A Set up button

Alternate Numbers

This feature lets you have up to 10 additional phone numbers or extensions ring to your phones just like your primary phone number. Your administrator configures new numbers and extensions for you. If your phone supports distinctive ringing, you can specify a ring pattern for each number.

Turn on a distinctive ring pattern for alternate numbers

  1. On the Features page, in the Alternate Numbers section, click Set up or Edit. The Alternate Numbers page appears.
  2. To turn on distinctive ringing, check Enable distinctive ringing.
  3. To change the ring pattern for a specific number, choose a ring pattern from the list in the row for that number, and then click Save.

Call forwarding

Call Forwarding Always, Busy, No Answer, and Not Reachable are basic call forwarding settings. Call Forwarding on a Schedule gives callers greater flexibility in how they can reach you.

Manage call forwarding

  1. On the Features page, in the Call forwarding section, click Edit. The Call forwarding page appears.
  2. In the following sections, click Edit or Set up for each feature:
    • Call Forwarding – Always
    • Call Forwarding – Busy
    • Call Forwarding – No Answer
    • Call Forwarding – Not Reachable
    • Call Forwarding on a Schedule

Call Forwarding – Always

  • On the Call forwarding page, in the Call Forwarding – Always section, you can:
    • Turn the feature on or off.
    • Click Set up or Edit. The Call Forwarding – Always page appears, where you can change the Forward calls to phone number and turn the ring reminder on or off. When you’re finished, click Save.

Call Forwarding – Busy

  • On the Call forwarding page, in the Call Forwarding – Busy section, you can:
    • Turn the feature on or off.
    • Click Set up or Edit. The Call Forwarding – Busy page appears, where you can change the Forward calls to phone number. When you’re finished, click Save.

Call Forwarding – No Answer

  • On the Call forwarding page, in the Call Forwarding – No Answer section, you can:
    • Turn the feature on or off.
    • Click Set up or Edit. The Call Forwarding – No Answer page appears, where you can change the Forward calls to phone number and adjust the number of rings a caller hears before the call is forwarded. When you’re finished, click Save.

Call Forwarding – Not Reachable

  • On the Call forwarding page, in the Call Forwarding – Not Reachable section, you can:
    • Turn the feature on or off.
    • Click Set up or Edit. The Call Forwarding – Not Reachable page appears, where you can change the Forward calls to phone number. When you’re finished, click Save.

Call Forwarding on a Schedule

  • On the Call forwarding page, in the Call Forwarding on a Schedule section, you can:
    • Turn the feature on or off.
    • Click Set up or Edit. The Call Forwarding on a Schedule page appears, where you can change the default forward to phone number, turn the ring reminder on or off, and manage criteria. When you’re finished, click Save.

Call Recording

With this feature, you can record calls directly from Collaborate. You’ll see 1 of these settings:

  • Always—All calls are recorded. You can’t pause or stop a recording mid-call.
  • Always with pause/resume—All calls are recorded. You can pause and resume recording anytime during the call. You can’t stop recording mid-call.
  • On demand with user-initiated start—You can start, pause, resume, and stop recording during the call.

View Call Recording settings

  • On the Features page, in the Call Recording section, click View only. The Call Recording page appears.

Call Waiting

With this feature, you can receive calls while on an active call. To accept the new call, put the first call on hold. You can manage incoming caller ID information for Call Waiting.

Manage caller ID for call waiting

  • On the Features page, in the Call Waiting section:
    • Under Status, turn the feature on or off.
    • Check or uncheck Turn off Call Waiting caller ID.

Do Not Disturb

With this feature, you can send all calls directly to voicemail without your phone ringing. If your criteria specify that a caller hears a busy signal when your phone is busy, the call isn’t sent to voicemail. To make sure you know when a call is sent to voicemail, use Ring Reminder, which plays a short burst of rings on your primary phone each time a call is sent to voicemail.

Turn on ring reminder

  • On the Features page, in the Do Not Disturb section:
    • Under Status, turn the feature on or off.
    • Check Turn on ring reminder.

Meet Me Conferencing

With this feature, you can invite others to join a meeting. When used with the Collaborate app’s My Room function, the Meet Me Conferencing feature provides a simple way to change a group chat session into a group call. The owner of the room and participants can share their desktops, but only the room owner can add participants to My Room and unscheduled sessions.

Create a meeting

If you want to use different settings, create more than 1 meeting.

  1. On the Features page, in the Meet Me Conferencing section, click Edit. The Manage Meet Me Conferencing page appears.
  2. Choose settings:
    • Select when meetings stop and start
    • Select notifications
    • Create a meeting
    • Make changes to your meeting room
  3. When you’re finished, click Save.

Music on Hold

When this feature is turned on, and you place a call on hold, the caller will hear the music or message your administrator specified.

Manage Music on Hold

  • On the Features page, in the Music on Hold section, under Status, turn the feature on or off.

Outlook Integration

You can download Outlook Integration, which integrates the Collaborate service with Microsoft® Outlook®.

After you download and install Outlook Integration, a Collaborate toolbar appears in Outlook. From the toolbar, you can make calls with 1 click, manage Collaborate features, and see all your Outlook and Collaborate contacts in one place. For more information, see Integrate Outlook.

Personal Speed Dial

With this feature, you can add and delete personal speed dial codes. Assign a 2-digit code for the phone numbers (up to 100) that you call most often. To make a call, enter the speed dial feature access code (**), and then the 2-digit code. To set up personal speed dial numbers from your phone, enter *75 and follow the prompts.

Manage personal speed dial codes

  • On the Features page, in the Personal Speed Dial section, click Edit. The Personal Speed Dial page appears.
    • To add a code, click Add code, select a number between 00 and 99 from the Speed dial code list, enter a number, enter a description, and then click Save.
    • To delete a speed dial code, next to the speed dial code you want, click the Delete icon.
    • To update a speed dial code, next to the code you want, click the Edit icon, change the phone number or description, and then click Save.

Priority Alert

With this feature, you can set a distinctive ringtone that alerts you to incoming calls that meet certain predefined criteria.

Manage priority alerts

  1. On the Features page, in the Priority Alert section, click Set up or Edit. The Priority Alert page appears.
  2. To add a schedule and phone numbers, click Add criteria, and then click Advanced mode. The Add criteria page appears.
  3. Enter a criteria name.
  4. From the Action list, select whether or not to use priority alert.
  5. Assign schedules. For more information about schedules, see Manage schedules.
  6. Under Criteria, choose the numbers that will play a priority alert ringtone:
    • Click All phone numbers.
    • Click Specific phone numbers, and then check one or more of these boxes:
      – Anonymous phone numbers
      – Unavailable phone numbers
      – Specific phone numbers (up to 12)
  7. When you’re finished, click Save.

Selective Call Acceptance

With this feature, you can screen calls based on specific phone numbers or times of day.

Selective Call Acceptance overrides other call forwarding settings.

Manage selective call acceptance

  1. On the Features page, in the Selective Call Acceptance section, click Edit or Set up. The Selective Call Acceptance page appears.
  2. To add a schedule and forwarding information, click Add criteria, and then click Advanced mode. The Add criteria page appears.
  3. Enter a criteria name.
  4. From the Action list, select whether to reject or accept calls.
  5. Assign schedules. For more information about schedules, see Manage schedules.
  6. Determine the phone numbers calls will be forwarded to and from.
  7. When you’re finished, click Save.

Sequential Ring

With this feature, you can specify a list of up to 5 phone numbers (other than your primary number) that are alerted sequentially when incoming calls match criteria you set.

Manage Sequential Ring

  1. On the Features page, in the Sequential Ring section, click Set up or Edit. The Sequential Ring page appears.
  2. Check the boxes for the settings you want and select the number of rings for your Collaborate phone number.
  3. To add phone numbers and turn on answer confirmation for each phone number, click Add phone number, and then from the Answer confirmation list, click Yes.
  4. To add a schedule and forwarding information, click Add criteria, and then click Advanced mode. The Add criteria page appears.
  5. Enter a criteria name.
  6. From the Action list, select whether to reject or accept calls.
  7. Assign schedules. For more information about schedules, see Manage schedules.
  8. Determine the phone numbers calls will be forwarded to and from, and then click Save.
  9. When you’re finished, on the Sequential Ring page, click Save.

Site Forwarding

With this feature, calls to your phone number that match your site’s criteria will be forwarded to a common number specified for your site. Site Forwarding overrides all other call forwarding settings.

View and manage Site Forwarding

  1. On the Features page, in the Site Forwarding section, under Status, turn the feature on or off.
  2. Click Edit. The Site Forwarding page appears.

Simultaneous Ring

With this feature, you can specify up to 10 phone numbers (other than your primary number) that will ring simultaneously when a call comes in to your Collaborate phone number. The first phone answered is connected to the call.

Manage Simultaneous Ring

  1. On the Features page, in the Simultaneous Ring section, click Set up or Edit. The Simultaneous Ring page appears.
  2. If you don’t want other numbers to ring when you’re on a call, check Don’t ring my numbers if I’m on a call.
  3. To add phone numbers and criteria, follow steps 3-7 in Manage Sequential Ring.
  4. When you’re finished, click Save.

Voicemail

With this feature, you can manage your voicemail settings.

  1. On the Features page, in the Voicemail section, click Edit. The Manage messages page appears.
  2. Under Voicemail, you can:
    • Reset your PIN.
    • Turn the feature on or off under Status.
    • Turn fax messaging on or off.
  3. To determine how certain calls and callers are treated, click Edit. The Manage voicemail page appears.
  4. You can send all calls directly to voicemail, or you can send calls:
    • To voicemail when your line is busy
    • To voicemail when you don’t answer a call
    • To a different phone number when the user presses 0. Enter the number where you want to send calls.
  5. Under Optional settings, decide what happens after callers leave a message and whether you want the system to:
    • Display a message-waiting indicator on your IP phone
    • Send you an email
    • Send you an audio copy of the message as a WAV file attached to an email (if you have fax messaging turned on, faxes are sent as TIFF file attachments)
  6. To use a personalized name for auto attendant and voicemail greetings, under Voicemail Options, check the box, and then select a file from the Personalized name file list.
  7. When you’re finished, click Save.
