How do I customize an Extension’s Direct Number settings via the Office@Hand Online account?

A Direct Number is a phone number that can be called without going through the Auto­ Receptionist. Account administrators may add, change, or delete an extension’s Direct Number, which can be done from the Phones & Numbers section of the Office@Hand Online account.

This article demonstrates the steps an Administrator should follow to customize a User’s Direct Number. The following topics are covered:

How to Access a User’s Phones & Numbers section

  1. Log in as an Administrator to your Office@Hand Online account.
  2. Go to Users > User list.

    Go to Users > User list.

  3. Click the name of the User that needs to have a Direct Number added or deleted.
    In this example, the Administrator will be customizing Jane Smith’s Direct Number.

    Click the name of the User that needs to have a Direct Number added or deleted.

  4. Click Phones & Numbers.  

    Click Phones & Numbers.  

    You may now proceed to customize the extension’s Direct Number. Click any of the actions below:

How to Add a Direct Number to a User’s account

  1. Access the User’s Phones & Numbers section.
  2. Click Add Direct Number.

    Click Add Direct Number.

  3. Select a State/Province, then select an Area Code.

    Note: Select an alternate area if there are no numbers available in the selected area.

  4. Select your preferred Direct Number, then click Next.

  5. A notification appears confirming that the number has been successfully added. Click OK.

How to Delete a Direct Number

You may change your direct number by adding a new Direct Number and deleting the previous Direct Number.

Follow the steps below to delete your extension’s Direct Number.

  1. Access the User’s Phones & Numbers section.
  2. Click Edit on the right of the Direct Number that needs to be deleted.

  3. Click Delete Number Click Delete Number button on the bottom left.
  4. A notification will appear to confirm deletion of your extension’s Direct Number, click Yes to proceed.

How to Change the Number Type

The Number Type controls what activity the Direct Number can receive.

  1. Access the User’s Phones & Numbers section.
  2. Select your Number Type.  
    • Voice and Fax ­ enables the phone number to accept both phone calls and faxes.
    • Fax Only ­ enables the phone number to receive only faxes.
    • Voice Only ­ enables the phone number to receive phone calls only. 

      Select your number type.

      Click the Save Save button button on the bottom right 

How to set where calls to the Direct Number will be routed

Follow the steps enumerated below to learn how you can route the incoming calls to your Direct Number to the Auto Receptionist or to another User.

  1. Access the User’s Phones & Numbers section.
  2. Click Edit on the right of the Direct Number that needs to be configured.
  3. You have 2 options below Calls to this number will be connected to:

    Refer to the table below to learn what happens when the call to the Direct Number gets routed to either the Auto Receptionist or to another Extension.  

    Choose Auto Receptionist or Extension

    • Auto ­Receptionist

    When the number is routed to the Auto ­Receptionist, it will follow the Company Call Handling rules. 

    • Select an Extension

    When the number is directly assigned to a User Extension, it will follow the Call Handling and Forwarding settings of the User where the number is assigned to.

    When the number is directly assigned to a Call Queue Group, it will follow the Call Handling and Forwarding settings of the Call Queue group where the number is assigned to.

  4. Click the Save  Save button button on the bottom right.
