Office@Hand: Checking the Call Recordings on your Office@Hand online account

Call Recording is a feature that makes it easy for you to record calls that you make or receive. Once set up, it will allow you to record a call on demand or automatically, depending on the feature that has been enabled on your account.

There are two kinds of call recordings:

  • Automatic Call Recording automatically records an entire call.
  • On-demand Call Recording records parts of the call by clicking the record button while on a call.

Note: State and federal laws require that your callers hear a call recording notification before and after their call is recorded. As an administrator, make sure your company’s call recording procedures comply with federal and state laws.

Check Automatic Call Recordings

Automatic Call Recordings can only be retrieved from the Recording column of the Call Log tab. Administrators can retrieve call recordings of all Users that have the feature enabled when in the Admin Portal view. On the other hand, Users can only retrieve the recordings for their own extension.

  1. On your Office@Hand Online Account, click Call Log.
    • When logged in as an Account Administrator

  2. Set the date range.

  3. Click the drop-down arrow to open Advanced Features, click the Show Only Recorded Calls checkbox, and then click Show.

    QUICK TIP: Administrators can also retrieve call recordings for another user by clicking the Extension radio button under Extension. and then clicking Select Extension. On-Demand call recordings will also be filtered together with the Automatic Call Recordings of the user.

  4. Point the cursor on the Play button icon to play the recording, and then click the Download button to download the recording.

Checking On-demand Call Recordings

On-demand Call Recording can be retrieved from the Recordings section of the Messages tab. On-demand Call Recordings do not work when Automatic Call Recording is activated for the extension.

Note: Administrators can only retrieve On-demand Call Recordings from another user by filtering a User’s recorded calls in Admin Portal > Call Log.

  1. On your Office@Hand online account, click Messages.
    • When logged in as an Account Administrator

  2. Click Recordings.

    Click Recordings.

  3. Click the Play button Play button to play the recording.
    Click on provided links if you would like to Download or Forward a message.
    To delete a recording, simply select the recording by putting a check mark on the box next to it, and then click Delete.
